Job Description:  Operations Director

 

Job Summary: Our community organizing nonprofit is seeking a highly skilled and experienced Operations Director to lead and oversee the day-to-day operations of the organization. The Operations Director will be responsible for managing the administrative and operational functions of the organization to ensure that our programs and initiatives are delivered effectively and efficiently.

Location: This is an in-person position based in New Albany, IN

 

About the Position: The Operations Director will manage Hoosier Action’s administrative and operational functions, including finances, development, human resources, logistics, and facilities.

 

The Operations Director works closely with and actively assists the Executive Director, Communications Director, Technology & Data, Buildings Manager, and organizers. This position ensures that Hoosier Action member-leaders are able to step up and become powerful leaders of change in Indiana. Hoosier Action is experiencing a period of intense growth and change and the Operations Director will help to drive and support that growth.

Job Responsibilities:

  • Financial:

    • Manage and oversee the budget and financial operations of the organization, including financial reporting, forecasting, and analysis.

    • Work with an accountant to ensure that financial reports and filings are prepared on a monthly and/or an as-needed basis and respond to information requests from the Executive Director.

    • Ensure that check requests, deposits, employee reimbursements, accounts receivable invoices, and accounts payable processes are handled in a timely fashion and documented appropriately.

    • Coordinate with accountant to manage Quickbooks and assure vendors are paid on time and funds moving in and out of the organization are accurately tracked.

    • Assume primary responsibility for budget preparation in collaboration with the Executive Director and accountants.

    • Work to manage organizational compliance with all local, state and federal laws by tracking time sheets.


  • Human Resources

    • Contribute leadership and guidance, and promote a positive and productive work culture.

    • Develop, orient staff to, and implement operational policies and procedures to ensure the smooth running of the organization.

    • Manage HR functions for the organization, such as orienting new staff, creating human resource systems as needed, making sure personnel forms are completed and updated as needed, development and adherence to policies and procedures, benefits management, payroll, and compliance with employment laws and regulations

    • Manage tracking of employee leave requests.

    • Manage annual benefits package.

    • Manage the processing of timesheets and support accountants in administration of payroll on a biweekly basis, including expense and mileage reimbursements.


  • Logistics duties:

    • Ensure that the offices and staff of Hoosier Action are appropriately resourced and supplied. 

    • Identify vendors for logistics (buses, food, space, childcare) for meetings and actions.

    • Book travel and lodging for a variety of staff in order to ensure efficient use of resources. This includes purchasing air travel, reserving rental cars or transportation, developing itineraries for groups and individuals, and other travel services.

    • Provide support for special events in order to ensure efficient use of resources. This includes ordering food, event materials, and supporting the meeting logistically with signage, print materials, and other responsibilities as needed.


  • Development:.

    • Assist in fund development by providing support for grants management. This includes tracking grant payments in conjunction with organizational budget development, developing budgets for grant applications and reports, and managing a grants database for reports, communications, Agreements, and fund tracking.


Qualifications:

  • At least 5-8 years of experience in operations management, with a proven record of success, ideally in non-profit operations. 

  • Strong financial management skills, with experience in budgeting, financial reporting, and analysis.

  • Excellent organizational and project management skills, with the ability to manage multiple priorities and meet deadlines.

  • Experience in human resources management.

  • Ability, flexibility, and willingness to identify areas of opportunity and provide support when needed.

  • Excellent interpersonal communication skills.

  • Passion for community organizing, poverty reduction, and everyday people.

 

Salary & Benefits

  • Benefits: 100% sponsorship of health, dental, and vision. Flexible work schedule with negotiable core office hours. 120 hours of PTO (Year 1-2) plus holidays including:  Martin Luther King Jr. Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day and the day after, and time off between Christmas Eve through New Year’s Day.

  • Annual salary for this position is $65,000.
